He also reviewed the Podcast Creator Bundle donated to the Summer Auction, consisting of a Zoom P4Next recorder, 256 GB SD card, microphone, tripod, XLR

cable, headphones, and windscreen.

The Chair noted that the BITS Reception will feature an auction rather than a raffle.

Vice President Snyder moved that BITS donate an additional Zoom P4Next Podcast Creator Bundle for the auction at the BITS Reception and provide up to $300

for additional door prizes and Robin Frost seconded.

The motion carried Unanimously.

Old Business

Summer Auction Donation Update – Everyone

This was addressed earlier in the meeting.

BITS Connect iOS Scope of Work and Quote – Everyone

Michael Babcock moved to approve payment of $4,000.00 to Techopolis for the initial scope of work for the BITS Connect App and Debbie Hazelton seconded.

The motion carried unanimously.

990 EZ Status – Larry, Diane and Everyone

After reviewing the instructions and consulting with John McCann, the Chair reported that the postcard form may be filed for 2026, with further review

to occur in 2027 based on revenue at that time. An independent review to confirm this determination was expected on May 8, 2026.

GLOW Status and Projected Costs – Jeff Bishop and Everyone

President Bishop reported that he will present the Board with a proposal for consideration that could generate additional revenue for BITS and help cover the cost of GLOW. The proposal would involve a nominal cost to members while giving them greater control over items and services they may choose to pay for themselves.

New Business

Changing Email Provider Update – Kayla, Larry

The SendGrid account will be discontinued as BITS transitions to Postmark, with May serving as the final billable month. No impact to end users is expected during the transition.

Convention Sponsorship Review (see attached) – Jeff Bishop

It was reported that, through sponsorship, BITS would receive the use of two meeting rooms, normally valued at $600 per day, recognition by name during general sessions, convention advertisements in the convention newspaper for all six days of publication, and reimbursement of the amount already paid for exhibit hall space.

Vice President Snyder moved to allocate $15,000 to sponsor the ACB 2026 convention in St. Louis and David Edick seconded.

The motion carried with one abstention from Michael Babcock.

BITS promotion at the Convention – Jeff Bishop

Following discussion regarding promotional items, including Terrie Terlau’s suggestion of the names “BITSLinky” and “BITS-Linky,” David Edick moved that BITS purchase promotional slinkies featuring the BITS logo. Vice President Snyder seconded.

The motion carried unanimously.

Representation at the NFB Convention – Larry, Brad and Board

Larry Watkinson, President Bishop, and Vice President Snyder spoke with NFB President Mark A. Riccobono regarding a BITS presence at the NFB National Convention. An exhibit hall booth would cost $2,000, although a first-time exhibitor discount could reduce the cost to $650.00. President Bishop also asked Vice President Snyder to explore the possibility of sharing a booth with iBUG and splitting the cost.

Following discussion, David Edick moved that BITS spend up to $2,000 for exhibit hall booth space at the NFB National Convention and Debbie Hazelton seconded.

The motion carried unanimously.

Mission Statement Consideration – Everyone:

Proposed Mission Statement:

“Blind Information Technology Solutions (BITS) empowers blind and low vision individuals by building an inclusive community for technological growth, promoting accessible technology for everyday life and careers, and advocating for equal digital access for all.”

Michael Babcock moved to accept the mission statement as presented in the Board Meeting packet and David Edick seconded.

The motion carried unanimously.

President’s Report

May Board Meeting

Jeff Bishop, President – BITS

Presidential Report to the Board and Membership

We live in exciting times, and at our upcoming meeting we will be discussing several critical items of business that will help shape the future of BITS. Before we begin those conversations, however, I want to start with something even more important: the well-being of our people.

To our committee chairs, board members, officers, leaders, and volunteers: please treat yourselves with kindness. Please value your time with your families, your friends, and yourselves. Do not be afraid to push back when you are carrying too much. Do not be afraid to say, “I need help,” or “I cannot take on one more thing right now.” We are a large organization, and we have room for others to step forward, help, and lead.

We do not need anyone to burn out, including your President.

Over the past couple of weeks, I have made a deliberate effort to disconnect for at least a day, and sometimes a bit more, simply to reboot. It truly helps. We become more creative, more enlightened, more refreshed, and most importantly, happier. At least I do. Please keep this in mind. Your well-being is one of my top concerns right now. Be gentle with yourselves. Be kind to yourselves. BITS is strongest when our people are healthy, encouraged, and supported.

Financial Roadmap and Long-Term Sustainability

Next, I want to turn our attention to our financial future. We need to better understand our financial roadmap for the months and years ahead.

Our Finance Committee, along with the appropriate leaders and volunteers, needs to meet soon and begin taking a deeper look at where we are as an organization. We are financially sound at the moment, and that is something for which we should all be grateful. But being sound today is not enough. We need a long-term plan and vision that helps us understand the sustainability of this organization well into the future.

I am asking that this work be given the urgency it deserves. My hope is that we can begin receiving at least minimal reporting on this topic at the June board meeting, if possible, or at least receive a clear plan for moving us in that direction. We need to know where we are, where we are going, and what level of investment we can responsibly support as we continue to grow.

Investing in the Future of BITS

Many of us have been working heads down on major investments in the future of BITS. These include our website, application development, courses, summer convention content, educational resources, and much more.

One of the most important goals behind all of this work is to make sure that our members and future members have a rich, welcoming, and accessible experience with BITS. We want a strong onboarding experience. We want a delightful renewal process that works beautifully on mobile devices, including the ability to complete a renewal with a simple double-click of a side button when supported by the user’s device. We want easy access to voting and ballots, content, educational resources, announcements, and the full life of the organization.

That brings us to BITS Connect.

I mentioned during the Presidential Annual Report that this project was coming, and this evening the board will consider funding for it. I believe this project is critical to the success and future growth of this affiliate. The ability to bring BITS forward through iOS, Android, Mac, and Windows applications is vital for our continued outreach, member engagement, and long-term relevance.

Some may understandably question the cost of the project, currently fixed at $4,000. I respect that concern. We must always be thoughtful and careful with organizational funds. At the same time, I can assure you that the quality of the application itself, along with the supporting infrastructure, would normally cost tens of thousands of dollars to develop under typical circumstances.

It is also important to recognize that many versions and components of this app are being supported through free development time contributed from within BITS. That makes this not only an investment of money, but also an investment of talent, commitment, and belief in the future of this organization.

I understand the need to be financially conservative. I also understand that we must invest in ourselves if we are going to strengthen ourselves for the future. I ask the membership and our leadership to consider all of these points as we discuss and consider this opportunity.

ACB Convention Sponsorship

Next, I want to address our proposed sponsorship of the ACB Convention.

We will be considering the purchase of an ACB sponsorship in the amount of $15,000. At first glance, that is a significant amount of money, and I fully understand why people may pause when they hear that number. But we receive substantial value from this sponsorship.

This includes two hotel rooms valued at approximately $1,200 per day at the normal rate, exhibit fees, representation every morning on the convention floor, and additional visibility and promotional value. Even if we looked only at the room charges, the value comes close to the cost of the sponsorship. I encourage everyone to review the packet for more details.

But this is not only about room value, exhibit fees, or convention logistics. This is about messaging. This is about branding. This is about clearly and proudly presenting who we are as Blind Information Technology Solutions.

If we wish to continue elevating our name, expanding awareness, and showing the broader ACB community the value that BITS brings, then I see this as a vital opportunity. Convention is one of the most visible places where we can tell our story, demonstrate our work, welcome new members, and show that BITS is not only active, but forward-looking, creative, and ready to serve.

A Little Convention Magic

Finally, I will say this: sometimes the strangest and most wonderful ideas appear when you are simply sitting at your desk trying to get work done.

Stay tuned.

We will announce something fun at the board meeting, and you can see the agenda for the name. Promotional material will also appear in BITS Bytes this week. We think we have something magical here, something that should put smiles on faces, make people laugh, and perhaps introduce a classic bit of fun to a younger generation of members who may not even know what this item is. I kindly ask that everyone have an open mind, an open heart and remember that not everything is at it seems or should be taken that way.

I tell you, life is fun.

Thank you all for your continued leadership, service, creativity, and commitment to BITS. I look forward to seeing everyone at the board meeting.

Respectfully submitted,

Jeff Bishop

BITS Connect iOS Scope of Work and Quote

Prepared for: Blind Information Technology Solutions (BITS)

Prepared by: Techopolis LLC

Date: May 4, 2026

Fixed Price Quote: $4,000

Purpose

Techopolis LLC will complete the version 1 BITS Connect iOS app work described in the project PRD, with the implementation adjustments documented in that PRD as of May 4, 2026. The PRD may refer to “V2” because it is the second planning document, but this scope is for the initial public release of the BITS Connect iOS app.

This scope covers the iOS app work, scoped WordPress plugin work, public TestFlight coordination, feedback review, App Store Connect publishing support for version 1, and one year of limited corrective maintenance. The Windows desktop app and PWA app are being built by others and are not part of this scope. Additional development for the iOS app or WordPress plugin will require separate written agreements.

Included Work

1. Authentication and Account Access

          •         Integrate Auth0 Universal Login using the Auth0.swift SDK.

          •         Support secure return-to-app login with PKCE.

          •         Exchange Auth0 credentials for WordPress app credentials through the BITS API.

          •         Store credentials securely using iOS Keychain-backed services.

          •         Support biometric unlock where available.

          •         Provide guest access where full sign-in is not required.

          •         Include app-level Magic Link request and exchange support when backed by the BITS API.

2. Dynamic Home Experience

          •         Render server-driven Home sections from the BITS API.

          •         Support native SwiftUI renderers for greeting, announcements, media highlights, events, calls to action, rich text, and RSS sections.

          •         Preserve a legacy announcements fallback when the dynamic Home endpoint is unavailable.

          •         Add cache-first announcement loading so recent content can appear quickly after app relaunch.

          •         Support special-event content where the BITS API provides it.

          •         Maintain VoiceOver heading navigation and accessible row activation.

3. Media Library Implementation

          •         Render the media library from server-driven media sections where available.

          •         Provide fallback support for the flat media endpoint.

          •         Add browse-by-category navigation based on BITS media and WordPress category data.

          •         Provide accessible media row controls for play, queue access, downloads, and document opening.

          •         Include a persistent mini-player in the bottom safe area.

          •         Support local download state display and offline media handling already present in the app architecture.

          •         Improve search behavior with local indexed search plus server-backed submitted search.

          •         Support document-style media items where the app can open compatible document formats.

4. Events Calendar Implementation

          •         Build an accessible calendar-oriented Events tab.

          •         Provide a custom SwiftUI month grid with previous and next month controls.

          •         Provide a list-style month view for users who prefer a linear day list.

          •         Fetch event data from month and date-specific BITS API endpoints.

          •         Provide event category filtering where categories are available.

          •         Support calendar subscription options for Apple Calendar, Google Calendar, and Outlook where the API provides subscription URLs.

          •         Preserve event detail navigation, Zoom join links, and calendar-related actions.

5. Accessibility and Quality Pass

          •         Maintain the app’s accessibility-first SwiftUI structure.

          •         Keep actionable SwiftUI List rows implemented as semantic controls such as Button, NavigationLink, or Link.

          •         Preserve VoiceOver labels, hints, heading traits, and live announcements for loading, search, media, and event states.

          •         Run a focused build or verification pass appropriate to the changed iOS app scope.

          •         Update project documentation when implemented behavior differs from the PRD.

6. TestFlight, Feedback, and App Store Connect

          •         Prepare the iOS app for TestFlight distribution.

          •         Work with BITS to run a public TestFlight beta.

          •         Review beta feedback received during the agreed feedback window.

          •         Make reasonable in-scope fixes based on TestFlight feedback before App Store submission.

          •         Coordinate with BITS on App Store Connect app information, build selection, and submission readiness.

          •         Support submission of the version 1 app through App Store Connect.

          •         Address App Review feedback related to the in-scope iOS app implementation, within the original scope where possible.

7. Limited Corrective Maintenance

          •         Provide bug fixes and similar corrective maintenance for the iOS app and scoped WordPress plugin for up to one year after version 1 release.

          •         Corrective maintenance is limited to issues where the released iOS app or scoped WordPress plugin is not working as intended.

          •         Corrective maintenance does not include new features, feature improvements, app improvements, redesigns, enhancements, new integrations, or expanded platform support.

          •         Work outside corrective bug fixes will require a separate written agreement.

Deliverables

          •         Completed iOS app source code for the version 1 scope.

          •         Scoped WordPress plugin work needed to support the version 1 app, as defined by the PRD.

          •         Public TestFlight build coordination with BITS.

          •         Review notes summarizing TestFlight feedback and in-scope fixes made before submission.

          •         App Store Connect submission support for the version 1 app.

          •         Updated PRD notes showing current implementation alignment.

          •         A summary of completed work and any remaining backend dependencies.

Out of Scope

The following items are not included in the $4,000 fixed fee:

          •         Building the Windows desktop app.

          •         Building the PWA app.

          •         Feature improvements, app improvements, enhancements, redesigns, new integrations, or expanded platform support for the iOS app.

          •         Feature improvements, plugin improvements, enhancements, redesigns, new integrations, or expanded platform support for the WordPress plugin.

          •         Support, analytics, monitoring, operational administration, or maintenance that is not a corrective bug fix for something not working in the released iOS app or scoped WordPress plugin.

          •         Paid account setup or fees for Auth0, Apple Developer Program, Stripe, RevenueCat, OneSignal, Firebase, Google, or other third-party services.

          •         New feature work beyond the PRD-aligned version 1 iOS app and scoped WordPress plugin scope.

          •         Large-scale copywriting, content migration, or manual entry of BITS website content.

Client Responsibilities

BITS will provide:

          •         Access to required API endpoints or a test environment.

          •         Timely feedback on TestFlight or local builds.

          •         Access to the Apple Developer account and App Store Connect app record needed for TestFlight and App Store submission.

          •         App Store listing content, including final app description, subtitle, keywords, privacy responses, support URL, marketing URL if any, and required review contact information.

          •         Timely review of public TestFlight feedback and decisions about which feedback should be addressed before release.

          •         Final approval of app copy, branding, membership language, and content rules.

          •         Any required backend changes if an endpoint returns data in a shape different from the PRD contract.

Assumptions

          •         The iOS app continues to target iOS 26 or later.

          •         The BITS API follows the contracts documented in the PRD or returns compatible fallback data.

          •         App Store approval is controlled by Apple. Techopolis LLC will support submission and in-scope review responses, but Apple review timelines and approval decisions are outside Techopolis LLC’s direct control.

          •         Public TestFlight feedback will be reviewed with BITS. Larger feature requests, major UI changes, backend changes, or platform work discovered during beta will require separate agreement if they exceed the version 1 scope.

          •         Limited corrective maintenance is included for one year after release only for bugs where the released iOS app or scoped WordPress plugin is not working as intended.

          •         Any material change to features, backend contracts, supported platforms, release responsibilities, non-corrective maintenance, or post-delivery development will require a separate written agreement.

Fee and Payment

The fixedd fee for this scope is $4,000.

Acceptance Criteria

The scope is complete when:

          •         Included iOS features are implemented or documented as blocked by unavailable backend dependencies.

          •         The app builds successfully in the agreed development environment.

          •         The main Home, Media, Events, Auth, and accessibility flows have received a focused verification pass.

          •         A public TestFlight build has been prepared and coordinated with BITS.

          •         TestFlight feedback from the agreed feedback window has been reviewed with BITS, and agreed in-scope fixes have been completed or documented.

          •         The version 1 app has been prepared for App Store Connect submission with BITS.

          •         Version 1 has been released.

          •         PRD updates reflect intentional differences between the original written plan and the implemented app behavior.

Organizational Effectiveness Liaison Team Report

Date: May 6, 2026.

Over the last couple of months, we have held several check-in and strategic meetings. Ongoing efforts are focused on building greater trust, strengthening cohesiveness, and helping to identify and smooth areas where there may have been overlap or gaps in communication and responsibilities.

We are encouraged by the progress being made as some leaders are able to lighten their individual workloads while, as a team, remaining mindful that essential responsibilities and organizational needs continue to be covered.

At this time, the Liaison team is intentionally slowing its pace in order to allow BITS leaders time and space to focus on current action items, follow-through, and continued strengthening of internal communication and collaboration.

Respectfully submitted,

BITS Liaison team

“April showers bring May flowers,” a phrase dating back to a 1557 poem by Thomas Tusser, serves as a reminder that short-term challenges often lead to positive results. As we move through the excitement of basketball finals season—cheering on our favorite teams (with Michigan fans rooting for the Pistons)—we are also celebrating steady progress with our City Pop fundraiser.

We have reached approximately $700 and are working toward a goal of $1,000 by the end of May. Thank you to everyone who has contributed and enjoyed the delicious selections. There is still time to participate before the campaign concludes on May 31. Please consider sharing the opportunity with family and friends and placing an order using the link below:

Blind Girl Designs continues to provide a wide range of BITS-branded merchandise, including T-shirts, hoodies, sweatshirts, canvas totes, aprons, and blankets in various colors and sizes. Optional pockets are available for a small additional cost, and items now reflect our updated name. Members attending the 2026 ACB Convention who are seen wearing BITS apparel and photographed by a fundraising committee member will receive a fun surprise. Orders may also be placed in advance with arrangements for pickup at the convention.

We continue to refine our RaiseRight initiative, with a planned launch later this month. Additionally, we are exploring new backpack options and anticipate having samples available at our booth in July.

Preparations are also underway for the BITS Technology Auction at the reception. Attendees are encouraged to arrive early to preview items and be ready to participate in bidding. A technology-themed trivia game with prizes will also be part of the event, adding to the overall experience.

Wishing everyone a wonderful week.

BITS – Convention Planning Committee Report for May 2026

Submitted May 6, 2026

The ACB national Convention is only 2 months away, and plans are being finalized for all the events that BITS has planned for both the virtual and in-person portions of the convention.

Below, please find the listing of all BITS conventions events as they will appear in the convention program and on the registration form.

BITS Reception

The 3rd Annual BITS Reception is planned for Wednesday July 29, from 5:00 to 7:00 PM at the Convention hotel.

Tickets for the reception will be $20, and will include a drink coupon.

Tickets will be available in advance during conference registration.

We will have a cash bar again this year.

The committee has decided that rather than have both a raffle and a auction, we will focus our fund raising efforts on the auction.  The Fund Raising Committee is working on the list of items that will be offered during the auction.

Throughout the reception, there will be drawings for door-prizes that will be given away throughout the event.  Each attendee who has paid the $20 registration fee, either during conference registration or at the door, will be given a ticket for the door prize drawings.

Plans for the trivia event are still in development, so stand by for more information on this event next month.

Convention Sponsorship

A proposal for convention sponsorship will be presented to the BITS Board at the May 6 Board meeting.

This sponsorship will allow maximum exposure for BITS, with the opportunity to promote our name change throughout the convention, and beyond.

Report on the education committee

May 3, 2026

President and members of the board.

The Education committee has been quite busy this past month. All our subcommittees have built upon woodwork that an in the last few months and we are now seeing the fruits of our labor. As announced in the last BITS Bytes, we are set to begin a full slate of programming for the Summer and Fall of this year. The Screen reader committee has been working on an extensive course on using a Mac computer with Voice Over, as well as some quick offerings still in the working stage. Our Basics with BITS committee has continued producing content for our members as well as moving closer to advertising on communication channels outside of the BITS organization to draw in a larger audience to BITS programming. Our Braille committee has dug into creating documentation for Perkins style keyboard commands and comparing those to compile a composite list for stakeholders. This is tedious work and this incredible group of volunteers are doing equally incredible work. Our Low Vision committee is small but mighty. Over this month they have been solidifying a survey to understand the new frontier in BITS education. We first need to understand the type of classes our members want before we lean into developing content.

The Mentor’s committee has connected four individuals together to assist them in mastering the skills they have requested through one-on-one guided assistance. They continue to bring the Ask BITS program the first and third Saturday of each month over the ACB community network, answering many of those in ACB a chance to experience the things BITS can do for each one of us.

And lastly, we have some exciting additional programming coming in the Summer and Fall, a course on using the Joomla content management system. Lead by one of our BITS members, this should prove fascinating and instructive for those who are looking for a Techie challenge. Look out for a three week class in August on using the screen magnification features of Fusion and ZoomText, We have a course on using the Blind Sheel 3 on our board for the Fall of 2026 and this one has been in development since January. And finally, we have a course during the Month of June, one which I have personally been wanting for BITS members, on Using the accessibility features of the Android operating system, again being taught by one of our amazing BITS members, and one who has recently joined BITS, showing the power of having opportunities available for members to give back and provide to the community of the BITS family.

And as a finally note, No one should miss the Spring 2026 Tech Smackdown! Six of our BITS members square off in a classic debate on the merits of the Microsoft Office 365 environment versus the Google Workspace environment in a tongue-in-cheek, “which is better,” style showdown, with no losers, only winners for those who choose to listen in over the ACB community list.

As you see, the Education committee is active and, while the amount of content has been minimal, it is only because we have taken to task the work of developing and preparing for the education the members have been asking about. And this is only the Fall! Once these courses are open and in session, we will be working on content for the Winter and Spring of 2027.

I am extremely proud of the many members who make up all our sub-committees, many who are serving on BITS committees for the first time. I want to thank each of them personally for the work they do and the expertise they bring. Also a special thanks to David Kingsbury for the work he does in ways he is unaware of for me. And with so much to talk about, I do not want to forget to speak about the collaborative work with Brad Snyder and the Presentations committee to begin to bring more learning opportunities to the community. And I should stop before I forget any others who are working tirelessly.

Publications Committee

Publications met on April 24.

Robin gave an update on the Mastodon statistics, and Merve provided an update on WhatsApp.

The new Facebook page is up and running and continues to grow. This is an announce-only platform where you will find BITS events posted, along with updates about what is happening throughout the BITS community. We invite everyone to visit and follow the new BITS Facebook community page.

The Spring Bulletin will be published at the end of May. All articles are due to Publications by May 15. Send articles to  newsletter@bits-acb.org.  This deadline will provide Jason with enough time to compile and prepare the bulletin for publication.

Over the next few months, we will be working on creating guidelines for the Nominations Committee. Karen Hughes, who served as Nominations Chair last year, will participate in this process.

The Social Media Working Group met on April 21 to align on strategy and roles across Publications, Communications, and Marketing. The group confirmed that Marketing will remain under the Publications umbrella rather than becoming a separate committee. Michael will coordinate social media efforts alongside the rest of the team. Marianne will continue sharing responsibilities for Facebook, and Robin will continue posting on Mastodon, which currently has 333 followers. Marianne will continue cross-posting relevant content to Facebook, which currently has 68 followers.

Meetings will continue on the third Monday of each month and have been moved to 8:00 p.m. Eastern Time.

For May, the team is launching a daily content campaign focused primarily on video, with text and AI-generated images available as backup formats. The goal is to position BITS as a trusted authority in educating the community about accessible technology, rather than simply posting trivia or holiday filler content.

The group is encouraging BITS members to share technology tips through short videos, ideally under 90 seconds in length. An introduction and closing segment have already been produced and are ready for use. Members interested in contributing may contact Michael at michael.babcock@bits-acb.org for additional information. These tips may also be repurposed into a recurring column for the BITS Bulletin.

The group is also testing AI-generated audio commentary using Google NotebookLM. Michael will run a recent BITS Bulletin through the platform and share a sample with the group before any decision is made regarding publication.

Best,

Michael

As we move further into spring and summer  we encourage everyone to take advantage    of the many events and programs that BITS has to offer.

Thank you,

Rosanna Beaudrie

Publications Chair
