Welcome everyone to Basics with Bits, where I can give you information about the brand new Outlook. So imagine what it is like. I have been using Outlook Classic forever. About a year and a half ago at computers, we learned that Outlook Classic was no longer going to be available. They told us you’re going to have to use the new Outlook and learn it. And oh wow, I was just like, oh my gosh, I’ve used Outlook Classic forever. How am I going to use the new Outlook? So what my colleague told me, and he’s a co-trainer with myself at Computers for the Blind, he said it’s just like Outlook Classic. You just have to learn a few new things. With the Freedom Scientific JAWS updates at the time, we had to turn off and on the virtual cursor to go through the messages and then when we wanted to read a message we had to turn on the virtual cursor so we could read them. So turning it off with JAWS Key Z we could go up and down through our messages and then we could read the list of messages just like we did in Outlook Classic. So please know that to get an Outlook account set up in Outlook New you need your username and password. Then you have to go through a list of options selecting your account and giving Outlook the security permissions that it’s going to need to access your Google account. When you have added a Google account or a new account, then when you press control Y to look at your accounts that you have, you can now see the add account in your folder structure. So I’m going to press Ctrl+Y, and I’m going to hit it. And then you’ve got the Add Account. So once you’ve added your first account, the Add Account shows at the bottom of your folder structure. So Ctrl+Y is the same command that we use in Outlet Classic to go to the different folders. I’ve got four accounts set up in this one, and I’m going to use the one that Heidi provided, that Heidi gave the address one day when we were in bits publicly just gave that address. So I’m going to use that one to show you some of the different things that we can do in Outlook Classic. So what I’m going to do is I’m going to press the letter M and you will hear Outlook cycle through my different accounts announced by JAWS. Inbox Marcy Duty Outlook Memory Usage – And then you’ll hear Inbox Marcy Duty Outlook And so they are closed. And so I’m going to hit the up arrow. And then the down arrow. Okay, and then I’m going to open it with the right arrow. And I’m going to press enter. And then I am in the inbox of my Outlook messages for that particular account. I’m going to open it with my arrow. And then down arrow to the inbox. Okay, so now I’m at the inbox. So for me to read the messages that people have sent to me, all I have to do is use my up and down arrows. So I’m just using down arrow to read those messages in my inbox. If I want to compose a new message, all I have to do is the same thing that I did in Outlook Classic. Just press Ctrl+N. And I’m in the To field. So I’m going to type to Kayla. Group Kayla. Okay, and it didn’t pop so I thought it would pop with auto complete but if it doesn’t pop, then you just type in the entire email address. Use this address:kayla.bentasetbitsbutton Okay and that’s what I want to do so then I’ll press enter to add it. And then I’ll press tab to go to the CC and BCC fields. And then subject, and I’m going to say testing for the presentation. Okay and then I’ll read my line. Subject edit testing for the outlook presentation. Okay and then I’ll press tab and I’m in the message body. Message body edit. Type in text. Okay so what I want to do then is just type the message body. Hello, please let me know if you received this message. Okay. Hello, please let me know that you received this message. To send a message in the new Outlook, it’s just like Outlook Classic. You can press Alt+S or you can press Ctrl+Enter. So I’m going to press Ctrl+Enter. message list extended select list box Kenneth Semyon senior okay and it sent the message and it returned me back to my inbox if you want to reply to a message you’re going you’re going to press enter on the group inbox Marcy and then you’re gonna press ctrl R message body edit and you are in the message body because Outlook new knows exactly who wrote to you and then the message appears at the bottom, the original message. So you can edit that. Those are all editable fields that you can edit. So you can change anything that you want in the reply. To come back to your message or to discard your draft if you don’t really want to send a reply, you’re gonna press the escape key. A huge thank you to Microsoft for their generous diamond sponsor. Okay and you’re gonna press escape again. Message list extended select list box. And then I’m the inbox. So if you are asked if you want to discard the draft, you click OK, and then that draft is discarded. I wasn’t asked that because I didn’t start writing anything. I just clicked Ctrl+R to reply. So Escape returned me to the original message, and then Escape one more time returned me to the message list. If I want to check my spelling in Outlook, Freedom Scientific has done some excellent webinars on how you do it directly from Outlook New. But I enjoy putting everything in Microsoft Word and then pressing Alt Shift L going through the spelling errors and then copying and pasting to my new message. Now I have always done that because that’s the way I do spell checking. You can always use F7 also, but Alt+Shift+L is the JAWS way for you to encounter the spelling errors and Applications key once you find that error and you will see the suggestions that you can use to correct the spelling that you missed. Forwarding a message again is just as simple as replying. Control+F will allow you to forward a message. you get the two field because Outlook new has no idea who you want to forward to so you’re gonna type the email address of the person that you want to forward to and then you’re going to tab you’re gonna see you that your subject reads FW and then whatever the original subject of the message was then you’re going to tap to your message body and you can type whatever I think you would enjoy this article or this is a great joke or whatever you’re forwarding to that particular person. Again, at the bottom of the message, you have all of the text that was in the message. So you can edit that as you want, using normal editing commands. You can press Ctrl+Shift+End and then delete if you want to delete it and just leave the message that you’re typing. Not a good idea because normally when you’re forwarding to somebody, you want to include what you are forwarding. So again I’ll press the escape key. Kids :: Because Kenneth is talking to us about convention. If you want to attach a file, again it’s the same way as you would if you’re doing Outlook Classic. So I’m gonna go, I created an announcement for Ask Bits this morning and I’m going to send it to somebody. So I’m gonna press ctrl n to edit type in And I’m going to send it to Jeff. Okay, and I’m going to type, let’s see, let’s do the president. So I’ll do control A to delete what I have typed. And deleted. Okay, and we’ll type BITS. You’ll see that once you’ve typed in the required amount of letters, the new Outlook will complete it just like classic Outlook used to. So I’ll press Enter. Added. Okay, so then I’m going to go to the body. Message body edit. And here I could type anything I wanted to, but what I want to show you is how to attach the file. So I’m going to my desktop. Desktop list view, OneDrive docs. And that’s where my documents are saved, so I’m going to press enter. Documents dash file explorer. Items view multi select list box, not selected as Bits May 16th. And there’s my announcement. So it says not selected. Please be sure that a file is selected when you’re going to copy and paste it into the message body. Selected. So I’m going to press Ctrl C. Copy selection to clipboard. And then I’m going to go back to the email. So the new Outlook is not hard to use. The most challenging thing I would think is set up. Group inbox dash Marcy duty. okay so that is the way that you would copy and paste a file to the body of a message in new Outlook so it’s just like you would in older Outlook it’s just like you would in Gmail on the web put your cursor on the file don’t open it copy and then paste it into the message body I love that way of attaching files to messages in different email different ways to send email so another thing that I want to show you is to actually delete messages. So I’m going to go to the top. Unread iBug today iBug Android Insight. And I’m going to press delete. So all I do is just press the delete key. Deleted. Control plus Z to undo. Okay. And then I could control Z if I really didn’t want to do this. Okay. I want to invite you all. Outlook Classic is supposed to be around until 2029, but if it’s easy for you to adapt and use the Outlook New, please feel free to do that. People say that you can use both of them at the same time, but I had no choice. had to use Outlook New when computers told me that that was the email client we were going to use. So the commands are very similar. You can forward a message with ctrl F, reply to a message with ctrl R, compose a new message with ctrl N. So there are a lot of the commands that are very very similar. With the setup you may have just a few challenges but it’s okay we can absolutely get through them you just have to okay that Outlook use the Google account for you to accept you just have to accept that Outlook can access your Gmail and that’s done with a checkbox with selecting the correct account and I’m happy to help you guys do that just join us at chat and we can do that or ask you know right to ask at bits hyphen acb.org and we can write those steps out for you because I actually have them we did them for our students at computers because that’s all we teach when we use email there so students learn how to use email with the new Outlook we’re not using the Outlook classic anymore pasting files is just as easy as finding those files in your file location copying them with control C and and then bringing them to the message body. Forwarding again, Control-F. It’s a very nice experience, actually. JAWS has made a lot of improvements where we don’t have to turn on and off the virtual cursor anymore. We can simply up and down arrow through our inbox. So, Mike, if there are any questions, I am happy to take them. Rebecca is our first hand, and I’ve asked her to unmute. Hello, Rebecca. Hi, I had two quick questions. One is how do you open an attachment and two, how do you change it so your messages aren’t threaded? Because sometimes you get into a thread and you hit control W, control W to keep closing it. And sometimes I miss messages. Great question. So to open an attachment, once you have an attachment, you would shift tab to that attachment. And every attachment has a more actions menu. So once you find that more actions menu, you’re either going to hit your space or your applications on that more actions menu. You’re going to come up to save as because save as is at the bottom and that menu wraps. So you use your up arrow to go to save as. You’re going to press enter and then you can save that attachment. Now, one of the choices in the More Actions menu is also open in the particular program that that file was created in. So if you want to choose that option, like for example, if it was a Word doc, one of your options would be open in Word. So you could press Enter there, and then your file would come in probably as protected. You could press F6, and then enable editing, or you could press Alt-F, and then I, and then E. So I is in India, E is in Echo. Sorry if I set off anybody’s devices. Maybe I should have said E is in Edward. That’s another way to unprotect a file. So that’s how you open it. Now, you have to get used to your Outlook settings to unthread conversations. So you’d have to go into settings and check out the settings where you would have to unthread those conversations. It says allow messages to come in in threads. you would turn that off and that’s how you would do that. My question actually has to do with, you were talking about, well, first off a question and a comment question is, Is it possible, is there perhaps a way to maybe, maybe it’s something that could be filed with Microsoft, but my question is to do with in conversation view, there is a, I guess, first off, there’s a way you can sort the messages oldest to newest. The conversation view, however, in the conversation, the messages are sorted newest to oldest. Is there a way? I didn’t see it in settings. Is there a way to set the messages, sort the messages in the conversation the same way that the actual messages are sorted? Yeah, that’s a great question. I don’t use the conversation view so I would not be the person to ask or answer that question. I can absolutely research it if you’d like for me to do so. I’m very heartened by this presentation because on one of the lists, everybody is fussing about how the new Outlook is inaccessible with attachments and everything, and I was getting very afraid. But this sounds doable. Yes. I have like six accounts, and each one has many folders. If I go to the new Outlook, all my folder structure will import over, And you can move things. I think it’s Control-Shift-V or something. My fingers know how to do it. Yes, Control-Shift needs to move a message to a folder. Yes. The same way. Yes. Move things from one folder to another and that kind of thing. It works the same way. And you could also use your application’s key if you want to. And you choose Move To, and then you would select your folders that way. Oh. Well, I don’t know why people are so afraid. It seems doable. Okay. It is doable. You can do it. YCDX, that’s the Braille cheer that we do for everyone. So I thought it would be appropriate for you, you being the treasurer of BRL. All right. Up next is Nellie. Hi, Nellie. I have been using Outlook Classic, but I want to transition into Outlook New before it becomes just a necessity. So I’m concerned about importing my contacts. Will the contacts load onto Outlook New or do they have to be put in manually? They will load into Outlook New. I did see an import option. And if your files are in.csv, you can definitely bring those contacts into your new Outlook. if your contacts are already set up in Gmail if you’re bringing over a Gmail account then they came over, mine came over I’ve got them in an Outlook account but I do have a Gmail email address okay, so you just have to know where those contacts are if you have a Gmail address go into contacts.google.com make sure that all of your contacts are there or if you are coming in from old Outlook export those contacts to a CSV, and we can bring them into the new Outlook. I see. Okay, well, I’ll have to offline learn how to export them to a CSV file. Perfect. So maybe I will send you an email. Okay, very good. Thank you. Thank you. Renee. Yes, thank you. I switched to the new outlook and I’m not seeing what you’re seeing as far as getting back to the list of folders. When I get back to the list of folders, the only way I’ve been able to do it is with shift F6. And then if you want to make a note within that email, each email account has its own folder. I find that confusing. I don’t know how to, I don’t know whether or not I’m in conversation mode or not. Even though I have Outlook already set up in the chat tonight, can I enter that room for some additional help? Yes, absolutely. Oh, okay. I thought maybe you were only doing it for people that did not have the Outlook, no. No, so what I want to do is what I want to encourage is that your screen is completely maximized when you use Outlook New. So as soon as it opens, either the Windows up arrow or the Alt space, come down to maximize and press Enter, or the shortcut key is X, make sure that that screen for Outlook New is completely maximized. Yes, you can use F6 and Shift F6 to move around to the different panes. As a matter of fact, when I first did this presentation for BITS, that’s exactly what I was using. Okay, sometimes when you press the escape key, you do not return back to your message. Or sometimes when you alt-tab away, what I do there is either reply to the message or forward the message with either control R or control F. And then it looks like I am going to write a message to somebody. And then that whole message appears for me. So encourage you guys to work with the new Outlook. It’s a wonderful thing to work with. It’s something that Microsoft is going to ask us to move over to. So don’t be afraid and just play with it. You can always go back to your Outlook Classic if you need to. But please go ahead and work with Outlook New. And just, you know, try it out. Find out what’s going on. And if there are things that Microsoft needs to fix, again, I remind you to write to support. Hi, everyone. Hi, Simon. I cannot seem to find the spell check, and I do have an issue with the New Outlook and JAWS, but I can report that, you said, right? Yes, you can. You can report that. And again, Freedom Scientific has some excellent training seminars where they did the spell check from Outlook New directly. But I have always copied my text into Word and used Alt-Shift-L to find my spelling errors and then fix them that way. Okay. So I’ve typed my email, you know, in Word, and then used Alt-Shift-L, and then you find your errors, and then your applications key will give you your suggestions. If not, I’ll ask the smart speaker or the smart assistant, how do you spell this word if those suggestions, if your spelling of the word didn’t come out as much as, you know, as well as it could have, to give you the suggestions for the correct word. Next up is Janine. Hi, Janine. Hello. I just need to confirm something. I have not transferred over from the classic to the new. I’m going to wait probably, but I have multiple subfolders. And I just want to confirm that when I transfer over to the new Outlook, those subfolders will transfer over as well from Outlook Classic to Outlook New. So Outlook New works with IMAP accounts. If those subfolders exist in your account on the web, if you know what I mean, when the account was created, if those subfolders exist on the web, yes, they will come over. I guess I don’t know what you mean by the web. So when you sign into your account on the internet, like when you go to mail.google.com or accounts.google.com and sign into your account. I don’t have to do that. I mean, it’s an automatic. I know you don’t have to do that. But if your account is an IMAP account and when you created those subfolders, they came in as IMAP or they stay as IMAP, then yes, importing them will import those subfolders as well. Because IMAP says synchronize those accounts when I have them available. Okay. Still confused, but I’ll deal with it later. Thank you. Sure. Jean. I have a couple of questions. How do you get to the new Outlook anyway? So the new Outlook, I know that it is included with most versions of Windows 11. And it’s the mail client for most versions of Windows 11. It is also part of your Office 365. Yeah, that’s what I have. Yeah. And I’m using Outlook Classic. So I guess the whole thing is that Gmail. So I have a Comcast account. I don’t know how to make this all work. I have a Comcast account and I use Microsoft Exchange. So I’m a little bit unsure. this Gmail thing is pretty invasive I think I mean I used to have a Gmail account and I do have one but I’m guessing you have to have one you don’t have to have a Gmail account you can actually bring in Yahoo accounts you can bring in exchange accounts like our work accounts are exchange accounts you can bring in outlook.com accounts Okay. So your provider, as long as you have your username and password, you can bring these accounts into the new Outlook. I see. Thank you. Okay, Jim, you are up. Okay, thanks for the presentation. I listened to part of your presentation back in August of 24, I think it was, when you did the original Outlook version. And it seems like it’s come a long way. It has. Yeah. I’m glad to hear that a lot of people are thinking about making the transition. because it’s something we have to do. And if it’s something we can find, you know, things that are not happening like they should, like I’ve already found one with the Outlook Classic. When we get an attachment, we could simply go to that attachment, copy it, and then paste it to the location where we wanted it. I would love to see that happen for the new Outlook. Rebecca. Like if you want to copy the attachment rather than having to find, you know, the more button or whatever you have to find, does that service should be reported or is that just a convenience thing? It’s a beautiful convenience. So I would call it a convenient bug. Okay. Honestly, because I can save my attachment wherever I want to, right? I can go to my attachment, click the more actions menu, up arrow to save as, press enter, and it’s saved in my OneDrive docs, right? If I want to move it somewhere, I just copy it and put it wherever I want to. But if Microsoft can make it possible like they did with Outlook Classic, it would be awesome for it to be possible in Outlook New, right? That’s what I say. I think so. Maybe a convenient bug. And I thought about going to Outlook Classic, but I decided that I’m getting used to New Outlook, and it seems to be working okay. But there are a couple of bugs, which I will probably write the bug report thing for. But I have a weird thing when I’m reading a message. If I open the message and read it, I can’t directly, when I hit escape and get out of there, I can’t delete it unless I up arrow or down arrow to the next message or previous message, and then I can delete it. However, if I don’t open the message, I can hit delete directly without having to go use the up or down arrow keys. I mean, it’s not a bad bug. Yeah, it’s one of those convenient things, right? Yeah, exactly. Yeah, I totally understand. Have you encountered that or do you know anyone who has? So what I always do is I use my current line command a lot. So I use my current line command once I’ve hit escape and then go back into the message list. I use my current line command to see exactly which message is selected. Because what happens is if the message is not selected, which is really weird because you just opened it, right? Exactly. I mean, just really strange. But use that current line command to find out if that message is selected or not selected. Now, what is that command? The current line command for JAWS is JAWS key up arrow. Oh, okay. Well, I just do the regular up arrow, but yes, I can try. See, when you do your up arrow, you actually move your cursor to the previous message. If you do JAWS key up arrow, you don’t move that cursor. It stays right there on the message where you are. Another thing that I would recommend that you try is control D. D is in delta? Yeah, control D is the delete message also. Got it. Okay, thank you. And just as an aside, I have a Comcast account, and I’m using Outlook with Yahoo Mail. So it definitely can be used. And I had the Microsoft Help Desk get me set up. Excellent. So Microsoft Help Desk for Microsoft Outlook, which totally makes sense, right? It does. Absolutely. Well, thank you. But on my desktop, are there any conflicts if you run both the new and the classic on the same machine? Do you have any? Oops. I don’t think so, but I didn’t have a choice. I just ran Outlook New. couldn’t have a choice of running Outlook New or Outlook Classic, but I don’t think there are any conflicts. I think you can put a couple of accounts in Outlook Classic and an account in Outlook New, and yes, I think you can run both of them. Okay. The other thing is, is there a new shortcut or am I missing something that may even be in Classic? If you’re reading a message, can you delete it and go to the next message automatically, or do you have to close it, delete it, and then go to the next message. So in the message, you can press control D and your next message will pop. Okay. I didn’t know if that would work or not. Okay. One other quick question. If you’re running Outlook Classic on my desktop, I’m running Outlook Classic. Okay. How do I run the Outlook new side by side? How do I get to it? What do I look for? It would open. One says Outlook and the other one says Outlook New. I didn’t see that anywhere. Where do I find that file? So when you when you press Windows and you type Outlook you’ll see Outlook and then Outlook New if you have both of them going on your computer. Okay actually I think as you see Outlook Classic and then it my on mine it says Outlook Classic and and I didn’t see the new. All right thank you very much. Absolutely. Okay, Jean’s back. Welcome back, Jean. If focus view is checked or open or set up, then what happens is there are two mailboxes established. One. Ah, yes. I don’t have focus view checked. That’s what happened to me. I had to call Microsoft Accessibility and he fixed it within a second. Yes. I had no idea about this. It’s just unchecking the checkbox. Yes. I had no idea what it was. I had no idea how I had two email boxes. And it must have been Outlook New because when I combined everything, when FocusView got turned off, I had only one mailbox. I was so blown away and I thought I have to talk about that on Saturday. You are absolutely correct. The focus view for some reason, Outlook New thinks, oh, these messages are important. These are the messages that she’s really going to want to read. And then they put them in the focus box. But yes, once you uncheck a little checkbox, they’re all in the inbox. But yes, you are absolutely correct. First of all, just really quickly, I have run Outlook Classic and New side by side together with no issues whatsoever. Yeah, I didn’t think so. And my question is, so I have in Outlook Classic, I have many, many email addresses. And I have a Gmail address that I use to save a lot of my messages from other accounts. Previously with Outlook New, you have not been allowed to move messages between accounts. You can move messages within the same account, but not between. Have they addressed that and can we move messages between accounts now? We cannot move messages between accounts. That’s a bad thing. Sorry. If that’s something you think we need to be able to do again. Oh, I’ve submitted that already, but I’ll submit it again. Excellent.
